Working with us
The Communication & Engagement team supports all Student Academic Services (SAS) and the Robinson Center for Young Scholars (RC) by developing and implementing digital and print marketing. We can help with a multitude of different types of projects; from website development, email and social media campaigns, to print media and digital media creation.
Unsure of what you need? Book a meeting with us! We are here to help and guide you through this process. If you are unsure of the scope of the work, have an idea but are not sure where to start, or just need to brainstorm. The Communications and Engagement team is here to help.
We look forward to supporting units in providing information for students, faculty, and staff.
Our process
Requests
For all projects, we ask that all staff submit a ticket via the ticketing form, based on the type of request.
- Email/Marketo or Jeto
- Design Request (Print or Digital)
- Social Media Request
- Printing Request
- Special Requests & Meetings
- Systems Access Request
- Video Request
- Web Services (Websites & Data)
Please select the associated help topic from the drop down when submitting your form, this will allow us to gather all information needed at time of request. We aim to respond to your request within 2-3 business days. All work will be based on UW Brand guidelines.
Feedback Process
- Once the project's first draft is complete, comms team will send for review. All feedback needs to be submitted in a feedback form (google document to capture changes)
- Projects are complete once the project lead give the final approval.
Working with students
The Student Coordinator is a full-time undergraduate student. Please note the following:
- Project timelines should include time for flexibility to account for the unpredictable nature of a student's schedule.
- StuCos may contact you using the ticketing system or Teams to clarify projects and share drafts.
- StuCos may need to schedule a meeting with you to discuss the project details further. Please let us know if you would like the Assistant Director to be present in these meetings.
- As the project manager, please do not hesitate to request meetings, changes to your project, or to be curious about the process. We want the outcome to reflect your goals.
Social media
Social media is another great way we connect with students. We manage four accounts on Instagram
Department Focused: @uwnstp, @uwrcys
Student Focused: @newhuskies, @uwdawgdaze
Departments can request work on posts, collaboration on posts, or just share out in stories. Departmetns can also request story Q&A’s; where we collect questions for groups on our IG stories and work in conjunction with the requesting team to answer our students' questions.
When working with our Social Media please note the following:
- Instagram accounts for newhuskies and uwdawgdaze are student-run and aim to showcase the undergraduate student voice at the University of Washington. The uwnstp account is used as a communication tool to showcase not only NSTP initiatives, but spread awareness of other SAS partner initiatives within UW campus. Both our student coordinator and staff run this account to get accurate and up to date information published. The uwrcys account is to showcase all Robinson Center activites, Saturday school, and Summer events.
- The Student Coordinator will make decisions based on the account's trends and data, in addition to what is relevant to the student population.
- When meeting to discuss timelines for advertisement, the student coordinator may offer suggestions about what is best to achieve your marketing goals.
