The SAS Digital Engagement team supports all Student Academic Services units by developing and implementing digital and print marketing. We can help with website development, email campaigns, social media initiatives, print media, and digital media creation. We look forward to supporting Student Academic Services in providing information for students, faculty, and staff.

Our process

Requests

We ask that all SAS staff submit requests for email development, print marketing, digital marketing, website support, special requests, and meetings through our ticketing system at sasengage@uw.edu. Your email will generate a ticket with a reference ID. See below for details on what needs to be included in the request and the timeline for submitting it. We aim to respond to your request within 2-3 business days. All work will be based on UW Brand guidelines. For projects requiring a feedback loop, you will define specific roles when making a request.

  1. Project Lead: A person responsible for managing feedback cycles, providing ideas, and making decisions. This person usually makes the initial request. This person will work with the Digital Engagement team to collaborate, listen, and lead.
  2. Project Lead Backup (Optional): If you submit a request but know that you will be out of the office during the project timeline, you can designate a backup person to move the feedback process forward.
  3. Student Academic Services (SAS) Project Sponsor: For some projects (website creation, special request), you will need a member of the SAS Leadership Team to be a project sponsor who can approve the project scope and ensure there is capacity. This individual may also support the project lead if they are out of the office, to continue to move the project along. It is expected that the project lead and sponsor will be in communication.

  • All emails over 250 must be put through an email management system (i.e. Jeto or Marketo)
  • Upload images, documents, and audience list to the Google Drive
  • All emails will be reviewed by at least two individuals to check for errors
  • Correction emails will be sent as necessary when an email has a mistake that needs to be highlighted

  • Tips from Dubs is aimed at UW first-year undergraduate students (freshman and transfer), and we ask that submitted content is relevant to these audiences.
  • We may need to edit copy to fit the format of the newsletter. We will send you a sample to approve before sending it to the students.

Please submit a ticket as soon as the project is under development. To ensure there is time to turn the project around, we ask for a minimum of two weeks of lead time. However, we do understand that an emergency might arise. Do not hesitate to reach out and let us know what is going on, and we will let you know what we can support in the timeframe.
