- Emails of any size audience can be sent through Marketo. It is best practice to send any email that is going to a large audience through the system
- All emails over 250 must be put through an email management system (i.e. Jeto or Marketo)
- Upload images, documents, and audience list to the Google Drive
- All emails will be reviewed by at least two individuals to check for errors
- Correction emails will be sent as necessary when an email has a mistake that needs to be highlighted
- In the ticket, please include:
- Name of the audience list file or UW Group
- Name of documents that were placed in the Google Drive
- Desired send date
- Who should receive sample emails to review before sending
- Any additional information
- In the template for the email, please include:
- Send from email
- Reply-to email
- Email Subject
- Email preheader (optional but suggested)

Request process What to submit If you want content included in Tips from Dubs, please submit a ticket with the submission materials listed to the right.
Please note that:
- Tips from Dubs is aimed at UW first-year undergraduate students (freshman and transfer), and we ask that submitted content is relevant to these audiences.
- We may need to edit copy to fit the format of the newsletter. We will send you a sample to approve before sending it to the students.
- The date range that would be ideal for your content to be shared
- Desired langauge
- A website or link for individuals to visit for more information
- A photo

Request process What to submit Please submit a ticket as soon as the project is under development. To ensure there is time to turn the project around, we ask for a minimum of two weeks of lead time. However, we do understand that an emergency might arise. Do not hesitate to reach out and let us know what is going on, and we will let you know what we can support in the timeframe.

- Please include the link to the file or a photo of the item if available
- Size of the item
- Examples: A-frames, 11x17in, 8.5x11 in, 1080x1080 px, etc
- Requested material and format
- Examples: printer paper, cardstock, corrugated plastic

- Include if the item should be printed in full color or black & white
- Is there a specific printing company that you would like to work with?
- Quantity of product (if we are sending it to be printed)

- When making a request, please attach a PDF of the budget approver's approval email or a procurement memo, if applicable.
